What is Nextcloud?

Nextcloud is open source software that allows organisations to set up their own digital workplace on a server in Europe. Files, email, calendar, video calling and documents; all in one place, without American tech companies looking over your shoulder.

Nextcloud is comparable to Google Drive or Microsoft OneDrive, but with one fundamental difference: the software runs on your own server, in Europe, under your own control. No subscription model where an American company decides where your data goes, how long it is stored and who has access to it.

The platform was founded in 2016 by Frank Karlitschek and is headquartered in Stuttgart. Nextcloud is used today by governments, hospitals, schools and businesses in more than 100 countries. In 2025 the platform welcomed more than two million new users, driven by the growing demand for digital independence.

For SMEs across Ireland and Europe, this means a complete digital workplace for a fixed monthly server price, regardless of how many employees you have.

Everything you need, in one place

Store and sync files

Store files in the cloud and sync them automatically to your laptop, tablet and phone. Working from home or on the go? Your files are always to hand, just like Dropbox or OneDrive, but on your own server.

Nextcloud keeps a version history of your files. Accidentally overwritten something? You can restore earlier versions in a few clicks. Deleted files are recoverable for 30 days by default.

Edit documents with OnlyOffice

Create and edit Word documents, Excel spreadsheets and PowerPoint presentations directly in the browser, without installing Microsoft Office. Nextcloud works with OnlyOffice, which is fully compatible with the Microsoft format.

Multiple employees can work on the same document at the same time. Changes are visible instantly, just like Google Docs but on your own server.

Manage email with Nextcloud Mail

Nextcloud has a built-in email app. Connect your existing business email via IMAP and read all your messages within Nextcloud, without switching programmes.

Works with virtually any email provider: Versio, TransIP, Antagonist, but also Microsoft Exchange and Google Gmail. Employees can also continue using Outlook or Thunderbird. Nextcloud Mail is simply an additional option.

Calendar and contacts

Manage your calendar and contacts in Nextcloud and sync them automatically to your phone, Outlook or Apple Calendar. Share calendars with colleagues and invite external parties to meetings with a standard email invitation.

Nextcloud uses the open standards CalDAV (calendar) and CardDAV (contacts), which means it works with virtually every device and email programme that supports these standards.

Video calling and chat with Nextcloud Talk

Meet internally or with clients via Nextcloud Talk. Video calling, chat and screen sharing, all via your own server, without a Zoom or Teams account.

External parties join via a guest link. They click the link and join through the browser, without needing to create an account. For small groups it works straight away. For larger groups we set up a TURN server for a stable connection.

Tasks and projects with Nextcloud Deck

Nextcloud Deck is a kanban board for task management and project oversight. Similar to Trello or Microsoft Planner. Create boards, assign tasks to colleagues and track progress per project.

Deck integrates with the other Nextcloud apps. A task can be linked to a file in your storage or to a calendar appointment.

The source code of Nextcloud is publicly available. Anyone can see how the software works, what happens to data and whether there are security issues.
