What data we collect

We only collect data that you actively provide to us through this website. There are three ways in which this can happen.

Contact form

  • Name
  • Organisation name
  • Email address
  • Phone number
  • Subject and number of employees
  • The content of your message

Switch check

  • Name, organisation name and email address
  • Phone number, if you provide one (optional)
  • Your answers to the questions in the check and the result based on them
  • The moment you gave your consent

Booking an appointment

  • Name and email address
  • The time slot you choose
  • Any comments you add to the appointment

To prevent misuse of the switch check, we also keep track for one hour of how often the check has been submitted from the same IP address. We do not store that IP address in readable form, only as an encrypted code that is deleted automatically after one hour.

We never ask for more data than we need to handle your request.

How we use your data

Contact form and appointments. We use your data to get in touch with you about your request, to hold the appointment and to provide the services you have asked for. The legal basis for this is legitimate interest: you contact us yourself and we respond to that request.

Switch check. We use your data to show you your result and send it to you by email, and to contact you about the check. The legal basis for this is your consent, which you give by ticking the box in the form. You can withdraw that consent at any time by emailing contact@ownbase.eu. We will then delete your data.

Based on your answers, the website automatically calculates an indicative score. That score reflects the situation of your organisation, not you as an individual, and is only intended as a first impression. No decisions about you are made on the basis of this score; we always discuss any next steps with you in person.

We do not use your data for profiling, automated decision-making or commercial purposes you have not consented to.

How long we keep your data

We do not keep contact details for longer than necessary. If an introductory call or a completed switch check does not lead to further cooperation, we delete your data within three months. For an ongoing client relationship, we keep data for as long as the agreement runs and thereafter for the statutory retention period.

Sharing with third parties

We do not sell your data and do not share it with third parties for commercial purposes.

All data submitted through the contact form, the switch check or the appointment planner is stored exclusively in our own WordPress environment on our own server. No data is passed on to external services or platforms.

In the future we may use additional tools for email communication. In doing so, we explicitly prefer European alternatives that comply with the GDPR. We will update this privacy policy as soon as we start using such tools, and ask for your consent where required.

Hosting and infrastructure

Our website and server run on our own VPS at Strato, a German hosting provider with servers in Germany. Strato is subject to European law and the GDPR. A data processing agreement based on Strato’s standard terms applies.

Our server is located in Germany and falls entirely outside the scope of the US CLOUD Act.

Cookies and website analytics

We do not use tracking cookies, advertising cookies or Google Analytics. We only place functional cookies that are necessary for the website to work.

To understand how our website is used, we use Umami, a privacy-friendly analytics service. Umami does not place cookies and does not collect personal data. We only see totals, such as the number of visits per page and whether the switch check was started and completed. This data cannot be traced back to you as an individual.

Your rights

Under the General Data Protection Regulation (GDPR) you have the following rights:

  • Access: you can ask which data we hold about you.
  • Rectification: you can have incorrect data corrected.
  • Erasure: you can ask us to delete your data.
  • Objection: you can object to the processing of your data.
  • Withdrawal of consent: if you gave consent, for example for the switch check, you can withdraw it at any time.
  • Portability: you can request your data in a commonly used format.

Send your request to contact@ownbase.eu. We will respond within four weeks.

You also have the right to lodge a complaint with a supervisory authority. In Ireland this is the Data Protection Commission (dataprotection.ie). In the Netherlands this is the Dutch Data Protection Authority, the Autoriteit Persoonsgegevens (autoriteitpersoonsgegevens.nl).

Security

We take appropriate technical and organisational measures to protect your data against unauthorised access, loss or misuse. Our infrastructure is entirely in European hands and meets the security requirements the GDPR sets for personal data.

Changes to this policy

We may amend this privacy policy if changes to our services or the applicable legislation give reason to do so. The date at the top of this document shows when it was last updated. In the event of significant changes, we will inform existing contacts by email.
