Nextcloud vs Google Workspace

Google Workspace is popular, easy to use and affordable. But you are not only paying with money. You are also paying with your data. What are the alternatives and when is Nextcloud the better choice?

European servers Open source GDPR-compliant Dutch roots

Google Workspace is free… until you see the bill

Google Workspace is the first step into the cloud for many small businesses. Low barrier, intuitive, and well integrated. Gmail, Drive, Docs, Meet: it just works. But what does it really cost?

Google’s business model is based on data. Google analyzes what you search for, which files you share, and how you communicate. With Google Workspace for businesses, Google claims not to show ads based on email content, but the data is still stored on American servers and falls under the US CLOUD Act. This means U.S. authorities can compel Google to hand over data, even if that data is physically located in Europe.

For organizations working with sensitive client data, medical records, or legal documents, that’s a serious risk. The GDPR requires demonstrable control over where data goes. That’s difficult when the data controller is a U.S. company with a closed infrastructure.

Nextcloud offers the same functionality, on a server you control,in Europe, outside the reach of U.S. legislation.

When do you choose Nextcloud, and when do you choose Google Workspace?

Nextcloud is a better fit when…

You work with sensitive or special personal data (healthcare, legal, HR).
You need to demonstrate where your data is stored and who has access to it.
Employees work a lot with Word and Excel files and want to preserve formatting.
You don’t want to depend on decisions made by a U.S. tech company.
Offline work is important, for example in areas with poor internet connectivity.

Google Workspace is a better fit when…

You team works primarily in the browser and real-time collaboration is central.
You use Google-specific tools such as Google Forms, Looker Studio, or Apps Script.
Privacy is not a strict requirement from clients, sector, or regulations.
The low barrier to entry and wide adoption are more important than data control.
